Scion Nonprofit has been engaged to conduct an immediate search for a skilled Administrative Assistant for our client, an inspirational community development organization dedicated to providing support to Chicago’s low-income communities. Located onsite in Chicago, IL, this role has the opportunity to support the organization’s leadership and increase the organization’s impact. This full-time, direct hire opportunity is available for immediate hire.

RESPONSIBILITIES:
  • Support the Executive Director (ED) with a high degree of professionalism and commitment to confidentiality.
  • Manage the ED’s meetings, including performing calendar management.
  • Oversee the preparation of information, task prioritization, daily operations, and travel coordination.
  • As needed, plan and run executive team’s events and meetings, including creating agendas, taking minutes, and general planning and logistics.
  • Handle expense reporting and reconciliation, as well as proper records management.
  • Act as the liaison to the ED with all staff and external partners within a high-paced work environment.
  • Facilitate and maintain clear communication and coordination across all departments with the executive office.
  • Track administrative projects and tasks to ensure deliverables are on time, including reports and other analyses.
  • Continuously build and improve internal and external partnerships.
  • Other tasks as required for the role.

QUALIFICATIONS:
  • 2 to 4 years’ experience as an administrative professional, ideally supporting a senior-level staff member.
  • Associate’s degree or equivalent applicable experience.
  • Proficiency in Microsoft Office Suite.
  • Proven ability to operate effectively in a high-paced, collaborative environment.
  • Demonstrated success in handling information with a strict adherence to discretion and confidentiality.
  • Business communication proficiency, including screening and responding to inquiries, calls, voicemails, and emails.
  • Robust coordinating skills in regard to meeting logistics, preparation, and scheduling.
  • Experience with general data analysis and reporting.
  • Excellent written and verbal communication skills in a business setting.
  • Superb attention to detail and organizational abilities.

COMPENSATION AND BENEFITS:
This exciting opportunity offers an annual salary of $60,000 (DOE) along with access to enroll in medical, dental, and vision insurance. This organization also provides an Employee Assistance Program (EAP), 10 days of paid vacation accrual in the first year, sick days, personal days, access to a life insurance plan, and retirement accounts! In addition to 10 paid holidays, the organization also provides a two-week winter break around the holidays!
