Scion Nonprofit Staffing has been engaged to conduct a search for an Executive Assistant for an amazing Nonprofit educational institution for children in preschool through eighth grade! This is an exciting Full-Time, Direct-Hire opportunity located onsite in San Francisco, CA!

As the Executive Assistant, you will be a critical member of the school and be responsible for enabling the success of the school’s strategic initiatives. You will serve as the liaison and provide strategic counsel to the leadership team and board!

RESPONSIBILITIES:
  • Serve as project manager for strategic institutional projects or initiatives
  • Provide cross-functional support on institutional projects or initiatives such as educational events, professional development trainings, retreats, surveys, and stakeholder decisions
  • Support ongoing neighborhood relations and upcoming construction project
  • Create systems, processes, and protocols to streamline operations
  • Serve as Administrative Leadership Liaison for the Leadership Team, Board, and Head of School
  • Assist with event set up, food ordering and logistical details for all school events, board meetings, parent events and support with advancement, admissions and other events
  • Attend and help facilitate meetings: send materials in advance; take notes; assign and follow-up on action items; be a productive voice at the table; ensure objectives are achieved
  • Work with CFO  to drive the annual survey projects for NAIS (DASL) and INDEX
  • Create and maintain systems and organizational relationships to enable leadership success
  • Create and update dashboards for reviewing annual goal and other key performance indicators
  • Attend all Board and relevant Board committee meetings
  • Make connections to ensure strategic alignment, take official Board minutes and committee notes, and assign and follow-up on action items
  • Manage Board systems including Blackbaud and Google Drive
  • Coordinate all logistics for Board meetings (facilities and tech set-up and break-down)
  • Serve as executive assistant, advisor, and counsel to Head of School
  • Help to set the Head’s strategic priorities and identify metrics for success
  • Assume day-to-day responsibility for projects, tasks, and events at the Head’s behest, including meeting preparation and follow-up
  • Contribute to internal and external communications
  • Assist in managing the Head of School’s schedule, including acting as a gatekeeper to ensure the Head’s involvement in a project or decision-making process at the right moment
  • Serve as coordinator of key administrative staff
  • Delegate action items and tasks relating to institutional projects and initiatives to relevant administrative staff based on strengths, skills, and bandwidth
  • Coordinate and optimize workflow among administrative staff

QUALIFICATIONS:
  • 5+ years of Executive Assistant experience supporting a CEO
  • Proficiency with MS Office Suite
  • Proficiency with Google Suite
  • Proficiency with Slack
  • Bachelor’s Degree
  • Positive collaboration with colleagues and effective engagement with all constituents
  • Discretion and confidentiality
  • Strong organizational, planning, and communication skills
  • Willingness and ability to pitch in, even without explicitly being asked
  • Ability to work occasional evenings and weekends 
  • Nonprofit accounting experience is a plus!
  • Experience working in schools is a plus!
  • This position with our client requires employees to report to work at a physical location. COMPENSATION AND BENEFITS:

This exciting career opportunity allows you to work with a brilliant and thriving team! The pay range for this role is $98,000 - $105,000 annually, plus a comprehensive benefits package that includes Health, Dental, and Vision Insurance, Life Insurance, AD&D Coverage, Long-Term Disability, Employee Assistance Program, Flexible Spending Accounts, $500 wellness stipend, and 403(b) Retirement Benefits with a 5% employee contribution.
