Scion Nonprofit Staffing has been engaged to conduct an immediate search to find an Operations Coordinator for our client, a philanthropic nonprofit dedicated to enhancing the health and equity of our world by connecting funders to various resources. This individual will report to the Operations Director as an essential member of the Finance, People, and Operations team within a rapidly growing organization!

The Operations Coordinator will be a mission-driven jack-of-all-trades, with organizational responsibilities including facilities management, office reception, IT coordination and support, vendor and contract management and tracking, facilities and technology budget management, payment processing, organizational systems work, and team events support. This hybrid position is based in the beautiful San Francisco Bay Area and may require occasional domestic travel when the environment dictates.

POSITION RESPONSIBILITIES: 
  • Manage all responsibilities related to the seamless functioning of the office headquarters, including but not limited to maintaining conference rooms, technology solutions, office break room, and main-office operations with an eye for cleanliness, proper functioning, and full stock of supplies.
  • Support daily requests from staff related to their office needs and foster a collaborative workplace environment for all employees.
  • Oversee and stand as the point of contact for various vendor relationships and the building’s engineering department with regards to facilities maintenance.
  • Lead all headquarter reception duties involving visitor requests and logistics, the handling and distribution of mail and packages, and routing incoming communications via phone and email to the appropriate channels.
  • Interact with high-level leaders across various disciplines.
  • Spearhead office improvement projects to increase efficient functioning.
  • Collaborate with the Operations Director and HR consulting partners on recruitment workflow, onboarding, orientation, and offboarding efforts and other various HR related tasks.
  • Process all payments and invoices associated with operational needs in a timely manner.
  • Act as the liaison between special project coordinators, Finance Director, and Operations Director to ensure the successful completion of tasks revolving around vendor and contractor support.
  • Assist the Operations Director and stakeholders with planning and executing team meetings, projects, events, and conferences by coordinating specifics around schedules, agendas, logistics, deliverables, presentations, and meeting spaces.
  • Serve as the daily point person for the organization’s IT managed service provider. Monitor all staff IT requests and support needs, ensuring they are addressed and resolved in a timely manner.
  • Support the development and maintenance of Operations Policies and Procedures documentation.
  • Reinforce all organizational systems while researching and implementing new system solutions.
  • Maintain accurate documentation of internal filing systems and participate in annual planning processes around budgeting, goal setting, review, and feedback systems.

POSITION REQUIREMENTS:
  • 2+ years of administrative, systems, or project management experience.
  • Post-secondary education a plus.
  • Corporate facilities management experience preferred
  • Experience coordinating and creating collaborative environments among organizations is preferred.
  • Experience planning meetings and events is preferred, experience planning large events or conferences is a plus.
  • Excellent time management, planning and prioritizing work to meet commitments aligned with organizational goals, using a strategic mindset to anticipate and nimbly navigate issues.
  • Excellent written, verbal, and presentation preparation skills.
  • Highly proficient in multiple technology platforms including but not limited to Google Suite, Microsoft 365, Zoom, Slack, Asana, Box, Salesforce, Bill.com, Divvy and Notion.
  • Comfort with technology and assisting others in seeking solutions to their IT needs.
  • Experience working for environmental organizations or startups is a plus.
  • Passion for environmental issues related to climate change.
  • Ability to work efficiently and effectively with minimal supervision.
  • Showcase a high level of professionalism, flexibility, discretion, and confidentiality when handling sensitive matters

COMPENSATION AND BENEFITS:
For this role, along with the unique opportunity to join a mission-driven team, our client offers a competitive base salary of $91,000 to $98,000; 10 days of PTO and unlimited paid sick leave; robust medical, dental, and vision benefits; life insurance; a flexible spending account; 401(k) plan; employee assistance and purchase programs; group universal life insurance; pet insurance, legal services; and $60 monthly cell phone reimbursement!
