Scion Nonprofit Staffing has been engaged in conducting an immediate search for an experienced Interim Director of Operations and Administration for our partner, a wonderful nonprofit organization!

This pivotal role works closely with the leadership team to enhance operational, financial, and HR processes, ensuring efficiency and effectiveness across various domains. As a small start-up nonprofit, the organization is dedicated to fostering a positive work environment and supporting its mission. The Interim Director of Operations and Administration will play a crucial role in change management, process documentation, strategic HR initiatives, and will oversee finance, budgeting, and compliance.


This interim position is for immediate hire, with a preference for onsite candidates based in the Harlem, NY area. Remote candidates are also welcome to apply!

RESPONSIBILITIES
  • Change Management:
    • Lead and manage change management initiatives to ensure smooth transitions and staff engagement.
    • Develop and implement strategies to effectively communicate changes to all staff members.
  • Operational Process Documentation:
    • Develop, document, and refine operational processes to enhance efficiency and effectiveness.
    • Ensure processes are clearly documented and easily accessible to all team members.
  • Staff Engagement:
    • Engage with staff to understand and clearly document their roles, responsibilities, and concerns.
    • Foster a positive and inclusive work environment that promotes staff well-being and productivity.
    • Manage employee relations, handle conflicts, and provide mediation when necessary.
  • Job Description Creation:
    • Develop and refine job descriptions for all positions within the organization.
    • Ensure job descriptions accurately reflect the roles and responsibilities of each position.
  • Strategic HR and Operational Initiatives:
    • Develop and implement strategic HR and operational initiatives to support the organization’s goals and objectives.
    • Work closely with the leadership team to align HR and operational strategies with organizational priorities.
    • Create a detailed plan/strategy/manual for leadership on HR policies, staffing activities, and day-to-day operations.
  • Financial and Program Management:
    • Document and refine financial management processes including budget planning, financial reporting, and expense management.
    • Outline and manage programmatic commitments and grant distribution processes.
    • Develop strategies for financial and operational processes post-transition.
  • Compliance and Risk Management:
    • Ensure compliance with legal and regulatory requirements.
    • Develop risk assessment and mitigation strategies.
  • Staff Support and Development:
    • Provide support and guidance to staff on HR-related matters.
    • Develop and implement staff development and training programs to enhance skills and performance.
  • Employee Morale and Retention:
    • Develop and implement strategies to maintain and improve employee morale.
    • Identify key talent and create retention plans to ensure stability within the organization.
  • Vendor and Resource Management:
    • Evaluate current vendors and establish criteria for future engagements to ensure optimal performance.
    • Manage resource allocation and procurement processes.
  • Communication:
    • Navigate and manage effective communication channels within the organization.
    • Ensure clear and consistent communication of HR and operational policies, procedures, and changes to all staff members.
  • Hands-On Implementation:
    • Take a hands-on approach to creating and updating processes, ensuring a seamless transition from assessment to implementation.
    • Work closely with the team to implement recommended changes and monitor their effectiveness.
  • Support and Mentorship:
    • Support and mentor current staff in completing key deliverables.
    • Assist in preparing materials for Board of Directors meetings and other key stakeholders.
  • Key Performance Indicators (KPIs):
    • Develop KPIs to measure the success of implemented processes and initiatives.
    • Regularly report on progress and outcomes.

QUALIFICATIONS
  • Extensive experience in HR management and operational processes within nonprofit organizations.
  • Proven experience in leading and managing change management initiatives.
  • Strong interpersonal skills with the ability to engage and connect with staff at all levels.
  • Ability to think strategically while being detail-oriented and focused on execution.
  • Demonstrated ability to be hands-on and manage HR and operational activities effectively.
  • Solid understanding of nonprofit financial management and budgeting processes.
  • Expertise in evaluating and defining plans for programmatic and grant-making activities.
  • Experience conducting SWOT analyses and developing strategies based on 501(c)(3) best practices.
  • Comfortable working in a dynamic, fast-paced environment with the flexibility to adapt to changing needs.

COMPENSATION & BENEFITS
This career opportunity provides a starting hourly pay of $70.00 to $77.00 DOE with room for further career growth over time, plus medical, dental, vision, and voluntary life insurance, an employee assistance plan (EAP), and commuter and transit benefits for those who are working on average 30 or more hours per week. An employee retirement plan is also available!
