POSITION SUMMARY:
Reporting to the Associate Executive Director (AED), the Executive Assistant will provide comprehensive, high-level administrative support to the Executive Office, Board Leaders, and designated Board Committee Members. This role is critical in ensuring the efficient workflow of the Executive Office, requiring significant discretion and sound judgment in handling sensitive matters and key operational tasks.
RESPONSIBILITIES:
- Serve as the primary point of contact for the Executive Office, handling inquiries and representing the Executive Director (ED). Manages the strategic calendar, meetings, speaking engagements, travel, and appointments for both the ED and AED, while facilitating efficient workflow.
- Function as a trusted, confidential partner to executive leadership, identifying and elevating issues that may impact the ED's or AED's commitments, while proposing solutions to mitigate risks and address urgent matters.
- Collaborates with the AED to manage internal and external projects, occasionally serving as project manager. Tracks progress on initiatives, supports documentation, and acts as point-person as needed.
- Draft correspondence, reports, and communications for approval by the ED, AED, and executive leadership. Prepares and distributes documents, contracts, and other materials as requested.
- Act as the liaison between the Executive Office and the Board of Directors, Board Committees, and Lay Leadership task forces. Serves as the primary point of contact, ensuring effective communication and relationship management between lay leaders and the Executive Office.
- Manage meeting logistics for internal and external events, including scheduling, room reservations, agendas, RSVPs, food service, and minute-taking. Supports various stakeholders by coordinating training, gatherings, and staff-level meetings as assigned.
- Manages the routing of confidential HR documents, including letters of hire and performance reviews, between the HR Senior Director, ED, and AED. Assists with HR-related correspondence and supports onboarding activities for executive team roles in coordination with the HR team.
QUALIFICATIONS:
- A minimum of five years of experience supporting executive or senior management, including complex scheduling, project management, and Board of Directors interaction.
- Strong interpersonal skills and sound judgment to manage sensitive and confidential matters with tact and professionalism.
- Demonstrated capability of working independently, making informed decisions on both routine and specialized tasks with minimal oversight from the Executive Director.
- Exceptional verbal and written communication skills, with the ability to interact diplomatically with Board members, Executive Leadership, and agency officials.
- Skilled in understanding and adhering to the specific protocols and preferences of the Executive Director and AED, ensuring appropriate support is provided.
- Ability to follow detailed instructions, multitask effectively, and adapt quickly in a fast-paced, dynamic environment.
- Bachelor's Degree required, Master's Degree preferred.
- Nonprofit experience preferred.
- Advanced proficiency in Microsoft Office (Excel, Word, PowerPoint, and Outlook).
COMPENSATION AND BENEFITS:
In addition to a competitive salary range of $100,000–$115,000 (based on experience), this full-time, onsite, exempt position offers a comprehensive benefits package. This includes a 403(b) retirement plan with employer matching and additional contributions, a cafeteria plan covering medical, dental, and vision insurance, as well as an FSA. The employer also provides life and disability insurance at no cost. Employees enjoy 16 paid holidays annually, along with 3 weeks of vacation and 2 weeks of sick leave.
