Scion Staffing has been engaged to conduct a search for a long-term temporary Executive Assistant for a nonprofit organization in the Mt. Baker area of Seattle, WA. This is a full-time contract through June 2025 with a hybrid schedule. While onsite, there is free street parking and access to a bus line close.


Reporting to the Interim Executive Director, this role will have the following responsibilities:
  • Provide clerical support for executive-level Board of Directors, Finance & Investment Committee, and Foundation meetings and members.
  • Manage the office space including maintaining processes and systems to support a hybrid work environment.
  • Perform sophisticated calendar management to support the Executive team.
  • Provide hospitality and maintain a welcoming environment via phone and at the front desk.
  • Manage office administrative tasks such as monitoring the mail, managing A/V equipment, and coordinating cleaning services as needed.
  • Act as liaison to C-suite executives serving on the Board of Directors, Finance & Investment Committee and the Foundation, including handling all logistics for meetings (scheduling, compiling and distributing materials, record meeting minutes) and other projects assigned.
  • Utilize technology to manage workflow; specifically in MSOffice Suite, Adobe, Smartsheet, DocuSign, and cloud-based filing systems.
  • Take and record minutes during board and committee meetings.


QUALIFICATIONS:
  • Minimum of 5 years of work experience in a Senior Administrative Support role.
  • Minimum of 3 years of Board Committee experience within a nonprofit.
  • Advanced MS Office Suite skills.
  • 1-2 years of Adobe, Smartsheet, and DocuSign skills.
  • Prior hybrid schedule experience.
  • Be a self-starting, detail-oriented professional with a penchant for performing tasks efficiently, accurately and independently.
  • Have exceptional organizational skills and both the competence and confidence to act with little or no supervision.
  • Can anticipate needs, think critically and offer solutions to problems with the highest level of professionalism and confidentiality.


COMPENSATION AND BENEFITS:
The hourly rate range for this contract is between $37-39hr DOE. You will also be able to receive benefits through Scion Staffing upon eligibility! Benefits include medical, dental, vision, voluntary life insurance, an employee assistance plan (EAP), and commuter and transit benefits for those who are working on average 30 or more hours per week. An employee retirement plan is also available.
