EVENT INFO: SCHEDULE, TRAVEL EXPENSES, AND OTHER IMPORTANT INFORMATION

Schedule Confirmation  

• For any staff that is not attending the events in Portland, you are on a normal work schedule. You will be working a full day, we may also ask you to cover some things for us.
• For all Scion team members who are attending and local in the Portland region, but not traveling a long distance we are closing our desks at 4:00pm on Thursday. This is to allow for preparation time and travel time to get to Coopers Hall. The event starts at 6pm – see you there! For more information or the location see this page!
• For all staff who are attending, you are welcome to set an out of office alert if you wish. We ask you do not work while at the events – try to be present and enjoy the time!

Reminder / Notes About the Events 

• At all times while on the bus we ask all individuals to wear a mask both over your nose and mouth + same for your plus 1. There is also a rule of no eating or drinking on the bus for the safety of the bus driver. We have masks if you need one. We need to keep people as safe as possible.
• Important: please use your judgement as to attendance if you have covid symptoms – please do not endanger others or attend if you cannot do so safely. Covid testing can be a valuable tool. We will also have a few rapid tests on-hand, please let us know if you will want one. While these are not fully reliable – if it tests positive – they are generally fairly reliable. This is not required in anyway.
• Please respect the decision of your coworkers that choose to wear a mask at all events.
• If you are going to drink – don’t drive. Take a Lyft.
• Also, please be wise with your alcohol consumption if you choose to drink – have fun but please be mindful. We will also have lots of non-alcohol options at our events.

For Out-of-Town Guests Flying In 

• We have a code for Lyft for you and your plus one to use to/from our company events. We would suggest you, if possible, take it to get the Coopers Hall, and/or if you need to go to one of our events, or to/from the airport in Portland. If possible, rideshare where safe and doable. Do not overcrowd in cars.
• If you have parking costs at the airport or took an uber Lyft to get to/from the airport (from your home) you can expense it. We will need your receipt(s) and for you to fill out our expense form.
• Please do NOT walk alone in downtown Portland or at night in a group. We prefer you take Lyft in general. It’s a big city.
• If you are going somewhere that is not for a Scion event, we do not cover those Lyft costs.
• Meals and drinks are provided/covered at all our scheduled company events for you and your plus one. There is also a coffee credit at the hotel. After brunch on Saturday, you are on your own. Drinks, room service, or things purchased at the hotel such as in-room entertainment are not covered by Scion. You would need to pay for these directly. Thank you for your understanding.
• Valet/Hotel tips would be your responsibility and are optional.

For Out-of-Town Guests Driving In  

• If you are driving to the event, we can also cover your mileage and parking or valet costs at the hotel for the event days. Expenesable mileage is from your home to the hotel and back. We will need your receipt(s)/exact mileage from your home to the hotel and back. So please track it. Once you are in Portland, please take Lyft and use the code we set up.
• The hotel will allow you to put the parking or valet costs on your room and you should not have to pay as we have prearranged for this. You will have to provide the hotel with your car information.
• Please do NOT walk alone in downtown Portland or at night in a group. We prefer you take Lyft in general. It’s a big city.
• If you are going somewhere that is not for a Scion event, we do not cover those Lyft costs.
• Meals and drinks are provided/covered at all our scheduled company events for you and your plus one. There is also a coffee credit of $20 to the hotel cafe for your stay. After brunch on Saturday, you are on your own. Drinks, room service, or things purchased at the hotel such as in-room entertainment are not covered by Scion. You would need to pay for these directly.
