Scion Staffing has been engaged to conduct a search for an Administrative Assistant (Early Childhood Education) on behalf of our client, a team of academic professionals with a passion for fostering academic, athletic, artistic, social, and emotional growth! This is a wonderful, full-time, direct-hire opportunity that is located on-site in Milwaukee, WI with a dedicated and experienced team!
The Administrative Assistant (Early Childhood Education) will report to the Head of the School as well as the Director of Advancement to oversee efficient office functions while also executing a variety of events to enhance the overall experience of the students and parents.

- On-Site work schedule that rotates every 4 weeks to include 2 weeks of the Main Shift (7:30 AM – 3:30 PM), 1 week of the Opening Shift (6:30 AM – 2:30 PM), and 1 week of the Closing Shift (10:00 AM – 6:00 PM)!

Responsibilities:
- Support Administrative Team: Routinely perform a wide variety of support duties, such as research, data entry, fielding communications, reception, scheduling, and preparing documents as well as reports.
- Data Management: Perform data entry and manage large databases. Build and run reports as needed.
- Computer Operations: Utilize various computer programs, including but not limited to Microsoft Office products and student database systems.
- Communication: Exhibit strong verbal and written communication skills. Proofread and prepare correspondence for administrators while also creating materials for events.
- Collaboration: Work effectively as part of a team while juggling tasks from the Head of School, Director of Advancement, Students, and Parents.
- Funds Handling: Ensure the proper receipt of all collected funds and monies.
- Customer Service: Courteously respond to the needs of visitors, parents, staff, and students. Exhibits sound judgment with the ability to prioritize and make decisions on a dime.
- Event Coordination: Plan and coordinate school programs such as student socials, visitation days, parent association events, etc, from idea to completion.
- School Information & Activities Knowledge: Stay informed and current on school activities, programs, and events related to the school to act as the point of contact for all inquires, policies, and procedures.
- Support Administrative Team: Routinely perform a wide variety of support duties, such as research, data entry, preparing documents and reports.
Requirements:
- Demonstrated experience in office management with a preference for candidates who have worked in an academic environment.
- Proven project management experience with success executing small and large events curating to a variety of audiences and themes.
- Polished customer service skills with the ability to maintain a calm demeanor when under pressure or juggling multiple tasks at once.
- Working proficiency with Microsoft Office Suite, Google Workspace, and Student Database Systems like Ravenna or BigSIS.
- Must be able to routinely work evenings (10:00 AM – 6:00 PM) and mornings (6:30 AM – 2:30 PM) for one week of each month and occasional weekends for specific events given ample notice.
- Desire to join a team that is supportive and reliable.
- Passion for working around children of all ages and dogs.
- High school diploma or equivalent.
Compensation:
