Scion Staffing has been engaged to conduct a search for a HR Assistant for a well established business that services a large portfolio of companies in the manufacturing, construction, and industrial space. This is a full-time, direct-hire opportunity based in Warrenville, IL that offers an on-site work environment with a driven, fast-paced, and passionate team.

As a key member of our Human Resources team, the Human Resources Assistant plays a critical role in supporting the HR leadership team. This position ensures seamless HR operations by managing scheduling, expenses, onboarding coordination, administrative tasks, and supporting our Learning Management System (LMS) and Human Resources Information System (HRIS).

RESPONSIBILITIES:
      Executive Support & Scheduling
  • Manage the CHRO’s calendar, including scheduling meetings, interviews, and travel arrangements.
  • Prepare and submit accurate expense reports in a timely manner.
HR Administrative Support
  • Assist managers with administrative tasks such as time-off requests, document preparation, filing, and correspondence.
  • Process and submit invoices in the accounting system for timely approval and filing.
  • Organize and maintain onboarding schedules, ensuring a smooth integration for new hires.
Learning & Development Assistance
  • Support the enrollment process for Learning & Development programs.
  • Administer and maintain the LMS, including user management and content updates.
  • Generate reports from the HRIS, providing insights and data analysis to support HR initiatives.
Office & Facilities Coordination
  • Partner with the Facilities Coordinator to maintain office supplies and shared spaces, ensuring a tidy and efficient work environment.
  • Serve as a backup to the Facilities Coordinator for inventory management and office maintenance.
Document & Presentation Preparation
  • Create, review, and edit documents, reports, and PowerPoint presentations to ensure clarity, accuracy, and professionalism.
  • Collaborate with HR team members to compile content for manuals, training materials, and reports.

QUALIFICATIONS:
  • Demonstrated HR experience.  
  • Experience supporting high-level HR executives in a fast-paced business environment.
  • Facilities or office management experience.
  • Polished customer service skills ensuring all guests and employees feel welcome and tended to.
  • Proficiency with HRIS and LMS such as Kronos, UKG, Beyond and Docebo.
  • Strong attention to detail with the ability to follow instructions and prioritize tasks.
  • Confidence to take initiative on various tasks to stay ahead of the executive team.
  • Professional and executive-level written and verbal communication skills.
  • Highest levels of diplomacy, confidentially, and discretion with a level of maturity to interact with leadership, team members, and external partners.
  • Desire to work collaboratively with a driven team.

COMPENSATION AND BENEFITS:
